Your tour experience includes comfortable private vehicles equipped with full air-conditioning, sized appropriately to accommodate your group. To ensure your comfort and hydration, we will provide one complimentary bottle of water per day.

At the time of booking, it is imperative to inform the Company in writing about any existing medical conditions, physical challenges, or mental or physical conditions that could impact your fitness to travel. This includes any medical conditions that may arise during the trip. Should you fail to communicate such conditions to the Company and subsequently need to cancel your trip due to these undisclosed conditions, you will be subject to 100% cancellation fees.

We prioritize your safety and comfort and having this information ensures we can make necessary arrangements and recommendations to accommodate your needs appropriately. Your proactive communication is crucial in ensuring a smooth and enjoyable travel experience.

For the safety and well-being of all our travelers, travel insurance is mandatory and must be arranged at the time of booking. Your travel insurance policy should cover the following areas with recommended minimum coverage of USD 200,000 for each category:

  • Personal accident, injury, illness, and death medical expenses, including coverage for pre-existing medical conditions.
  • Emergency repatriation, including helicopter rescue and air ambulance when applicable.
  • Personal liability.
  • Trip cancellation, curtailment, loss of luggage, and personal effects.

It is essential to carry proof of insurance with you and be prepared to present it if reasonably requested by our company employees or suppliers. Please note that the Company reserves the right to cancel or suspend your participation in a trip, including activities that are part of the itinerary, at any time, even after the trip has commenced, without providing a refund, if you are unable to provide proof of insurance when requested.

This policy is designed to ensure the safety and security of all travelers and to mitigate potential risks associated with travel.

Ethic Himalaya Treks cannot be held liable for any injuries, health conditions, emotional or other such conditions experienced by clients during the course of the trip. It's important to note that our package cost does not encompass personal insurance coverage. Therefore, we strongly recommend that clients secure comprehensive insurance packages that include provisions for medical emergencies and helicopter evacuation.

While we prioritize your safety and well-being, unforeseen circumstances can arise during travel. Having adequate insurance coverage ensures that you are prepared to address any unexpected challenges that might occur. As such, we strongly advise clients to prioritize obtaining appropriate insurance coverage to safeguard their health and well-being throughout the journey.

In the event that you encounter any concerns or complaints during your tour, it is imperative that you promptly communicate these issues to both the hotelier and our team on-site. By notifying us during your trip, we are given the opportunity to address and rectify the problem in a timely manner. Failing to alert us at the time of occurrence may not warrant the company's acceptance of liability for any issues that arise after you have returned to your home country.

Should the complaint not find resolution at the moment of occurrence, we kindly request that you provide a written account of the matter within 30 days following the conclusion of your trip. It is crucial to adhere to this timeframe. It's important to note that neglecting to follow this outlined procedure might limit or nullify any entitlement you have to initiate a claim against our company. Your cooperation and adherence to this procedure are greatly appreciated, as they ensure that we can diligently address and resolve any concerns you might encounter during your travel experience.

To ensure a smooth travel experience, all esteemed clients must possess a valid passport with a minimum of 6 months validity from the anticipated return date. For your convenience, Nepalese visas can be acquired through two means: either from the Nepalese Consulate in your home country or upon your arrival at Kathmandu Airport. The visa fees are structured as follows:

  • USD 30.00 or equivalent foreign currency for a 15 Days Tourist Visa with Multiple Entries.
  • USD 50.00 or equivalent foreign currency for a 30 Days Tourist Visa with Multiple Entries.
  • USD 125.00 or equivalent foreign currency for a 100 Days Tourist Visa with Multiple Entries.
  • Visa Extension : Should you require an extension of your tourist visa, please note the following guidelines:
    • The minimum extension period is 15 days.
    • The extension fee is USD 45.00 for the initial 15-day extension, with an additional charge of USD 3.00 per day for each extra day.
    • In situations where the extension is requested for less than 150 days, a late fine of USD 5.00 per day will apply.

Pre-Departure Notification: In cases of significant changes, we will promptly inform you if there is sufficient time before departure. A "major change" is considered as an alteration affecting at least one-fifth of the itinerary days. Upon encountering a major change, you can decide between accepting the revised arrangement, receiving a refund for the land portion of the trip only, or opting for an alternative tour proposal.

Post-Departure Modifications: We retain the right to modify an itinerary after departure due to unforeseen local circumstances or events beyond our control. In such urgent situations, any additional expenses required for itinerary adjustments will be your responsibility. Please be aware that we do not assume responsibility for any incidental costs that might arise due to itinerary changes, such as visa expenses, vaccinations, or non-refundable flight bookings.

To secure your booking for Nepal trips, a non-refundable deposit of USD 200 per person per trip is essential. This deposit ensures the confirmation of your reservation. If you make your booking within 30 days of the departure date, the full amount is due at the time of booking. You have the flexibility to pay the remaining amount either before your arrival in Nepal or upon your arrival before the trip commences.

The non-refundable deposit must be remitted to the Company or its designated Agent. In case the deposit amount differs from what is stated in this clause, the company will provide you with the appropriate information at the time of booking.

You have the convenience to make booking deposits through bank transfers or by Credit Card (Visa or MasterCard). Please refer to the details provided on the booking form to ensure accurate payment processing.

For Kathmandu Pokhara Overland Tour in Nepal, your final payment can be settled upon your arrival in Nepal. This affords you flexibility and ease in managing your trip costs. You have various payment options available, including bank transfers, travel checks, cash, or Credit Card payments (Visa or MasterCard).

It's important to note that a 4% surcharge applies when using Credit Cards for payment. This surcharge is applicable to all types of payments, encompassing deposits, final balances, trip extensions, and incidental purchases. Such revisions may occur if the prices displayed in our marketing materials and on our website face alterations due to circumstances beyond our control, such as shifts in exchange rates or government-imposed actions. It's important to note that domestic flight fares are particularly susceptible to fluctuations caused by increases in fuel prices.

Rest assured, our commitment to you is to always strive for transparency and to present the most current and accurate pricing in our tours. While external factors can sometimes exert pressure on pricing, we make every effort to minimize such impacts and maintain a fair pricing structure.

Upon payment of your deposit, your trip reservation is confirmed, contingent on settling the balance of fees 90 days before the scheduled trip commencement. If a member decides to cancel participation, the following guidelines will apply:

  • More than 45 days before departure: Deposit will be retained.
  • Between 45 to 31 days before arrival: 30% of the total tour price.
  • Between 30 to 14 days before arrival: 40% of the total tour price.
  • Between 14 to 09 days before arrival: 70% of the total tour price.
  • Between 08 to 02 days before arrival: 80% of the total tour price.
  • Less than 48 hours before arrival: 90% of the total tour price.

We understand that circumstances can lead to changes in plans, and we strive to be accommodating within these stipulated terms. Please bear in mind that these measures allow us to manage the various arrangements and commitments associated with your trip.

We retain the right to cancel a trip up to 30 days before the scheduled departure. We also maintain the option to cancel a trip prior to departure if circumstances such as terrorism, natural disasters, political instability, or other external factors render it unfeasible to carry out the planned itinerary. If such a cancellation occurs, you have the choice to transfer the amounts paid to an alternative departure date or receive a complete refund. In cases where external events beyond our control lead to cancellation, refunds will be adjusted to account for any unrecoverable expenses.

It's important to note that we are not accountable for any ancillary expenses you may have incurred due to your booking, including but not limited to visa costs, vaccinations, travel insurance deductibles, or non-refundable flight fares. Please be aware that differing cancellation terms might be applicable to specific trip styles; your booking consultant will provide guidance if such variations exist.

If you wish to make changes to your booking, such as transferring to a different trip or transferring you’re booking to a third party, we require you to notify us a minimum of 30 days before the proposed departure date. A fee of USD 500 per person per change will be applicable, in addition to any charges imposed by hotels, ground operators, or airlines.

Should you notify us of changes less than 30 days before the proposed departure date, the refund policy applicable to cancellations will take effect. Transfers to a third party are permissible only if the transferee meets all the trip requirements, and transfers to another departure are limited to within the current validity period.

For amendments to other arrangements made in conjunction with your trip, an administration fee of USD 300 per booking per change will apply. This fee is separate from any charges levied by hotels, ground operators, or airlines.

Please note that no amendments can be made to your booking within 10 days of departure. This policy ensures effective management of trip arrangements and associated services.
